Terms of Service
Effective July 6, 2026
These Terms of Service (“Terms”) govern your access to and use of the StaffGuard Discord bot, the StaffGuard web dashboard, and any related services (together, the “Service”). By adding the bot to a Discord server, logging into the dashboard, or otherwise using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. The Service
StaffGuard provides staff-management tooling for Discord communities: moderation cases, staff hierarchy and HR records, ticketing, quotas, and a web dashboard for configuration. The Service operates on top of Discord and your use of it is also subject to Discord’s own Terms of Service and Community Guidelines.
2. Eligibility
You must meet Discord’s minimum age requirement (13 years, or older where local law requires) to use the Service. By using the Service you represent that you meet this requirement and that you are legally capable of entering into these Terms.
3. Accounts and access
- The dashboard uses Discord for sign-in. You are responsible for the security of your Discord account and for all activity that occurs under it.
- Dashboard access to a server’s configuration requires the Manage Server permission (or ownership) in that server. Granting staff roles inside StaffGuard may give other users access to moderation tooling — server administrators are responsible for who they grant access to.
4. Acceptable use
You agree not to use the Service to:
- violate any law, Discord policy, or the rights of any person;
- harass, defame, or abuse others, including through moderation reasons, ticket messages, or uploaded proof material;
- upload content that is illegal, sexually exploitative, or that you do not have the right to share;
- attempt to disrupt, overload, reverse engineer, or gain unauthorized access to the Service or its infrastructure;
- automate access to the Service in a way that circumvents rate limits or intended functionality.
We may suspend or blacklist users or servers that violate these Terms, without prior notice where the violation is serious.
5. Your content
Server administrators and staff submit content through the Service — for example case reasons, proof images, ticket messages, announcement embeds, and branding. You retain ownership of this content. You grant us a limited license to store, process, and display it solely to operate the Service (for example, rendering a case record or a ticket transcript back to your staff team).
You are responsible for the content you submit and must have the necessary rights to it. We may remove content that violates these Terms or applicable law.
6. Server administrators' responsibilities
If you add StaffGuard to a server, you are responsible for using it lawfully within your community — including informing members that moderation records, tickets, and related data are processed by the Service, and for responding to member requests regarding data your staff team recorded about them. 7. Availability and changes
The Service is provided on an “as is” and “as available” basis. We may add, change, or remove features, and may suspend or discontinue the Service in whole or in part, at any time. We do our best to keep the Service reliable and to preserve data (including routine backups), but we do not guarantee uninterrupted availability or that data will never be lost.
8. Termination
You can stop using the Service at any time by removing the bot from your server and logging out of the dashboard. We may suspend or terminate your access if you breach these Terms, if required by law, or if continued operation of the Service becomes impractical. Sections 5, 9, 10, and 11 survive termination.
9. Disclaimer of warranties
To the maximum extent permitted by law, we disclaim all warranties, express or implied, including fitness for a particular purpose, merchantability, and non-infringement. Moderation decisions made in your server are made by your staff, not by us — the Service is a record-keeping and automation tool, and we are not responsible for how your community uses it.
10. Limitation of liability
To the maximum extent permitted by law, we will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, data, or goodwill, arising from or related to your use of the Service. Our total liability for any claim relating to the Service is limited to the amount you paid us for the Service in the twelve months before the claim (which, for a free service, is zero).
11. Indemnity
You agree to indemnify and hold us harmless from claims, damages, and expenses (including reasonable legal fees) arising from your use of the Service in violation of these Terms or of applicable law.
12. Changes to these Terms
We may update these Terms from time to time. Material changes will be announced through the Service (for example on this page with an updated effective date, or via our support channels). Continued use of the Service after a change takes effect constitutes acceptance of the updated Terms.
13. Governing law
These Terms are governed by the laws of the jurisdiction in which the operator of the Service resides, without regard to conflict-of-law principles, except where mandatory consumer-protection law in your country of residence applies.
